Storage

You'll need: an administrative role. Administration → Storage.

What the screen shows

The top summarizes how much of the workspace's storage is used, how much is available, and how many files that represents.

Below it is a breakdown you can pivot four ways:

ByAnswers
ModuleWhich part of the product is holding the space: media, designs, presentations.
TypePhotos against videos against documents. Videos are almost always the answer.
OriginUploaded, generated, imported.
UserWho added it.

It also lists the largest files, a trend of what has been added over time, and what was added recently.

Select any file to open a detail panel: what it is, who added it, when, what is using it, whether it has duplicates or versions, and controls to download or delete it.

Reclaim space

The Reclaim section identifies what can be freed without deleting anything you meant to keep:

Duplicates. Near-identical copies. Review duplicates opens the triage screen, which re-links anything depending on a copy to the keeper before deleting it. See duplicates.

Trash. Deleted files count against storage until their retention window passes. Open trash lists them with the date each becomes unrecoverable.

Together these account for most of the reclaimable space in an established library.

Versions

A file with a version history stores every version, and all of them count toward storage. A version stays until someone removes it from the file's versions panel.

Versions are still the right way to handle a corrected file (see uploading files), but when storage is tight, files with long version histories are worth reviewing.

Limits

Two limits apply, and both appear on this screen:

  • Total storage, set by your plan
  • Maximum upload size per file

If you are close to the total, additional storage is available as an add-on. See plans and modules.

Trash retention

How long deleted files stay recoverable is set by your storage plan and shown on this screen. Some configurations have recovery turned off entirely, making deletion immediate and permanent. The library states this when it applies.
